The Allen School has an outstanding opportunity for a Technical Inventory Analyst.

The Technical Inventory Analyst (Computer Support Technician 3) is a member of the Computer Science Laboratory Group (CSL), an experienced and diversely skilled IT organization that creates and supports innovative administrative, academic and research computing needs of the Paul G. Allen School for Computer Science & Engineering.

The Technical Inventory Analyst works independently under the direction of the CSL Service Desk Manager and is responsible for monitoring, assessing, and providing direction in the records management of technical assets, and acquisition of technical peripherals and technology consumables.

As an on-site shipping/receiving and inventory full time employee, this role is 100 percent in person with occasional opportunity for remote work (e.g. training, professional development, etc.)

DUTIES AND RESPONSIBILITIES Equipment Receiving and Tagging

  • Receive and inventory all purchased or otherwise acquired technology assets for the Allen School, sometimes in batches of 30 or more items at one time. These assets include, but are not limited to; commodity desktop computers, laptops, tablets, portable devices, monitors, networking equipment, but also high-valued servers and workstations, industrial 3D printers, laboratory equipment, robots, and will occasionally also include non-technology assets such as building artwork and higher-valued pieces of lab furniture. This inventory process may also include reconciliation, recording and tracking of technology ‘kits of parts’ as disparate parts are assembled or grouped together to serve the unique or experimental needs of computer science research or instruction.

  • Coordinate communication with Allen School fiscal administrators to gather and record all requisite asset transaction information and ensure efficient information recording, tagging and deployment processes are completed. In some cases, initiate University Insurance coverage on equipment when requested. Notify end users or technical personnel when the equipment inventory process is complete. May also assign networking registration information to an asset such that the equipment is internet capable at deployment.

  • Assign and affix either University and Allen School inventory tags to all inbound technology assets and equipment as appropriate. Generate and affix replacement tags on equipment that has lost, faded or otherwise obscured tag. Asset Record Management and Inventory

  • Ensure accurate data entry and updates of all Allen School asset information in the UW Equipment Inventory Office (EIO) system (Oasis) for items that meet the University Equipment threshold, and in all cases ensure accurate data is input into the Allen School Asset Management system.

  • Prepare and conduct UW biennial equipment inventory, working with the UW EIO, as required by the State of Washington.

  • Infrequently respond to out-of-cycle formal inventory verification requests (i.e. audits that involve equipment records).

  • Maintain meticulous supplemental purchase records on inventorial and known non-inventorial equipment.

  • Maintain inventory of Allen School furniture and facility attic stock.

  • Produce reports for Assistant Director of Facilities on stock.

  • Participate in ongoing inventory process improvements.

  • Manage paper and digital receipts to conform with University records retention requirements.

  • Strive to minimize or convert paper records where possible, and ensure the digital records are stored on ordained/protected file systems.

  • Prepare reports associated with inventory value and/or quantity on hand and spend for critical supplies and other commodity types. IT related Consumable Procurement & Supply Management, Vendor Management

  • Track IT consumable inventory with regard to the volume, use, placement, and availability of stock on hand such that it is appropriate to business need/demand cycles. Reconcile, and make recommendations regarding adequate stock levels. These IT related consumables include, but are not limited to; power strips, power cords, network cabling, network hubs, display cables, display adapters, mice, keyboards, printer and copier paper, poster printer consumables.

  • Maintain meticulous records on IT consumable purchase history.

  • Monitor, evaluate, and complete internal and external customer ad hoc requests to add new components, consumables, or “spares” to stock inventory; update inventory catalog locations.

  • Source consumables from vendors in UW Procurement system. Align procurement practices with University of Washington initiatives of business equity and supplier diversity. Equipment Surplus

  • Ensure proper data destruction standards are performed on all technology devices destined for surplus, prior to those devices leaving the building.

  • Organizing, maintaining, and prioritizing equipment pre-staging and staging areas

  • Responsible for assembling and itemizing a complete pre-surplus batch inventory of technology to be disposed of, prior to scheduling and coordinating the pickup of those assets with UW Surplus group.

  • Reconciliation of surplus items in the inventory database. General Duties

  • Update internal and customer facing web pages that describe all these SOPs, policy and protocols.

  • One year of experience as a Computer Support Technician II, OR equivalent education/experience. ADDITIONAL REQUIREMENTS

  • Able to accurately process large volumes of transactions, manage multiple priorities and meet deadlines.

  • Demonstrated ability to operate with a sense of urgency to support rapid deployment of equipment or technology.

  • Intermediate Excel Skills (e.g. pivot tables, conditional formatting) or ability to quickly develop these skills.

  • Previous experience working with an array of diverse computing hardware systems and platforms (desktop, server, portable devices).

  • Ability to quickly and easily identify and catalog technology components and connectors of a commodity computer system.

  • Ability to research and quickly identify more obscure technology components and systems.

  • Sound understanding of basic computer networking protocols (TCP/IP, DNS, DHCP, ethernet cable standards).

  • Commitment to effective collaborative relationships and teamwork; respectful and effective communication with all levels of staff and leadership.

  • Excellent written and verbal communication

  • Bachelor’s Degree in a related field.

  • Of the experience above, at least two years of experience in program coordination, inventory support, or related areas.

  • Experience using a database backed asset management system.

  • Experience working with the UW Equipment Inventory system (OASIS).

  • Experience providing high level program coordination or administrative support in inventory management, supply chain management, logistics, or related field.

  • Experience developing Standard Operating Procedures that aid staff training/staff education.

  • Experience designing and presenting metrics and reports. CONDITIONS OF EMPLOYMENT

  • Ability to lift up to 50 pounds unassisted and ability to lift 50-100 pounds with assistance.

  • Must be able to work in a non-smoking environment.

  • Regular and predictable attendance is required.
