Position Summary:
We have an exciting opportunity to join our team as a Program Associate. Reporting to the Director of Education Administration and working closely with the Vice Chair for Education, the Program Associate supports administrative activities and strategic programs for the education team as outlined below. This individual works with limited oversight.

Job Responsibilities:

Education Team Administration:

    • Coordinate education events, including those for CAMS, training programs and research.
    • Plan the American Association of Child and Adolescent Psychiatry (AACAP) annual Child Study Center (CSC) reception, graduation and any other education-led marketing events.
    • Provide team coverage as necessary.

Child and Adolescent Mental Health Studies (CAMS) Undergraduate College Program Support:

    • Develop and prepare marketing materials and social media posts for CAMS classes & CAMS sponsored events.
    • Support the CAMS Advisor (Program Manager) in the design and execution of CAMS events.
    • Under the supervision of the Director of Education and the Director of Finance, liaise with CSC Payroll to ensure accurate payments are made for CAMS at the end of each semester.
    • Catalogue CAMS materials and ensure that all CAMS materials are sent in at the start of the semester.
    • Support CAMS quality improvement initiatives.

6 Year Track Research Support:

    • Maintain records on trainees and graduates. Report program statistics, as needed, to DCAP, NYU Langone School of Medicine and national organizations.
    • Assist the Director of Education Administration and the Vice Chair for Education in tracking program budgets.
    • Maintain the 6-year track shared drive and one drive accounts.
    • Collaborate with the Research and Clinical Mission Staff to track trainee productivity.
    • Provide administrative support to the Training Program Leadership, maintaining regular communication with trainees, training faculty, Program Director, the Director of Education Administration, and the Vice Chair for Education.
    • Act as liaison between faculty and trainees.
    • Track and monitor trainee schedules (regular rotations, didactic schedule, etc.).
    • Trainee Recruitment
      • Conduct telephone and written correspondence with prospective applicants.
      • Coordinate annual interview days.
      • In collaboration with the Fellowship Program Coordinator to organize annual orientation week.
      • Update recruitment materials, as needed.
      • Assist the Fellowship Program Coordinator in annual onboarding and credentialing process of new trainees and provide credential verification for graduates, as needed.
    • Evaluation
      • Support evaluations for Faculty, trainees and the training program with periodic surveys, as needed.
      • In coordination with Education Team Leadership to ensure trainees and faculty complete all evaluations.
    • Events, Meetings and Conferences
      • Support the organization and execution of events for trainees (orientation, graduation, ABCT reception etc.).
      • Organize and attend regularly scheduled training meetings. Assist in the implementation of any decisions.
      • Support trainees in reimbursement for conferences.
      • Order and coordinate room reservations and catering (as appropriate) for regularly scheduled events.

Fellowship

    • Support all fellows rotating at OMH locations
    • Tracks OMH telepsychiatry productivity and pass through schedules
    • Assist the Fellowship Program Coordinator in onboarding OMH fellows
    • Assist the Fellowship Program Coordinator in planning and executing trainee events.
    • Other fellowship related activities as needed

Education Research Support:

    • Attend the Education team weekly research meeting and participate in research related activities.
    • Assist in the recruitment of research subjects and manage payments for participants.
    • Develop and prepare materials for various research studies such as the R2R Study and other potential studies.
    • Facilitate the distribution of study materials to research subjects and retrieve subject data.

Psychology and Social Work Training Programs:

    • Supports the Lead of the Psychology Externship Program and the Director of Psychology Training as necessary in education specific activities.

Strategic Program Coordination:

    • Support the Director of Education in managing education mission strategic initiatives including but not limited to preparing strategic documentation and coordinating meetings.

Performs other duties as assigned.

Minimum Qualifications:
To qualify you must have a Associates' Degree is required. Minimum of 1 Year of related experience in an office setting or the equivalent combination of education and experience. Effective Oral, written communication and interpersonal skills. Computer Skills -Working knowledge in the use of Microsoft Office Word, Excel, Power point and Access. Ability to develop basic formulae for spreadsheets; set up routine computer procedures; Ability to access e-mail, electronic calendars, and other basic office support software. Ability to proofread documents and write clear, concise 1st draft. Ability to type at a speed of at least 45 net words per minutes.Knowledge of standard office practices. Ability to multi-task while paying attention to details. Ability to use standard office equipment such as copy machines, multi-line telephones, fax machines.

Independence, organization, and flexibility Ideal candidate is self-motivated, has excellent organizational skills, is proactive in problem solving, able to manage competing priorities, work independently, and track projects to completion. Must possess strong time management skills and the ability to work well under pressure.
Professionalism Able to interact professionally and appropriately with faculty, staff, trainees, students, Grand Rounds presenters, and visitors.
Communication skills Ability to write and speak clearly, accurately, and appropriately.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $41,997.19-$55,702.40 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
